Events

  • Organizations can offer events to their membership that includes the location and different options for the event. Members will be able to register for the event and once complete, they can view the information on the event.

    • Using an Annual AGM as an example an event can be created for it.

    • You can choose who can attend the event - Members, Non-members or Students

    • Provide all the Venu details for the event

    • Event description

    • The Start and End Date and Time for the Event

    • The Registration Start and End Date and Time for the Event

    • Publish Date - This is the date that the event will be available to members when they login into their profile.

    • Number of Tickets

    • Early Bird is if you offer a discount for registering early

  • Next would be setting the Pricing for the event.

    • For example - cost of the full event

  • Next move to Add Ons = these would be extra features

    • This could be anything like presentations or a social event outside of the formal event

    • In our example of the AGM there is a meet and Greet addon with a cost of $5

    • Save the event


Ballots

  • Organizations can create Ballots to communicate and get feedback from their membership on specific topics. This can be anything from Election of board members to policy changes for example.

    • The process for creating ballots begins with the description of the Ballot

    • Then the next part of the process is the choice of types of questions.

    • Yes/No or True/False

    • Single choice from a list of options 

    • Multiple choices from a list of options

    • Once you have the Ballot setup the next thing that needs to be done is to Publish it so members can see it.

    • The three fields are 

    • Published at - Date must be at least the following day after publishing to allow for backend code generation.

    • Closed At - Last date members have access to vote on the ballot

    • Unpublished at - This would be the date that you no longer wish the ballot be visible to your members. 

    • The Start date will always be the day after you create the ballot.  The reason for this is because our software runs an automated job nightly that will search for Ballots being created with a start date the following day. This then generates a set of codes, one for each member that allows them to only vote once on the ballot.

    • When there is a ballot open, the member logs in to their profile and selects Ballots from the left menu. Once they have voted once on the subject, they are not able to vote a second time.

    • Admin’s have the ability to delete ballots as well. Once a ballot is deleted there is no way to recover it.

  • There is also a statistics feature that is built into each ballot that will track information based on the ballot. 

    • When you click on ballots you are taken to a screen that lists any ballots that have been created.  If you click on the Ballot Title it will display the statistics for the ballot.
